Reservation Process: The air component of the new Flight + Tour Combo is booked by Country Walker’s sister company VBT Bicycling and Walking Vacations, however all aspects of your reservation are managed by Country Walkers. We have contracted with partner airlines to provide you with the lowest possible airfares. All flights are booked in economy class on regularly scheduled airlines unless you choose to upgrade to Business Class. Every effort will be made to arrange the most direct flight itinerary. In most cases, your itinerary will involve connections and layovers, and may not be the most direct routing. All flights are reserved based on availability under our contracts at the time your reservation is made. Please refer to each trip page for a complete list of gateway cities and additional pricing details. All prices are based on double occupancy and include all airline surcharges, government fees and taxes. Pricing for additional gateway cities is available on request.
Please note: Scheduled Guided Walking Airfare pricing is only guaranteed if reserved outside of 45 days. Additional costs will apply to special air requests. CW Safaris Airfare pricing is only guaranteed if reserved outside of 65 days. Additional costs will apply to special air requests. To reserve a Flight + Tour Combo please call Country Walkers at 800.464.9255. The $500 tour deposit is required in order to reserve the flight package. Please have your passport in hand.
Please note: It is important to have your passport in hand when you request flights. All information on your passport including full name, passport number, nationality, and expiration date are needed at the time of booking and all details on your tickets must appear exactly the same as on your passport. All passports must contain at least five blank pages and must be valid for six months after the completion of your trip. If your destination requires a visa for U.S. citizens, you are responsible for obtaining a visa prior to departure. Non-U.S. citizens should contact the appropriate consular office for any requirements pertaining to their trip. You will receive a preliminary flight itinerary by email within 21 days after making your reservation. Please examine your itinerary carefully to ensure that your first and last name appears exactly as they do on your passport. You will have 3 days to correct any errors in your name or cancel your flight. After which a minimum change fee of $100 per person will apply.
Please note: For guests reserving flights more than 11 months in advance, flight itineraries cannot be emailed until 10 months prior to the travel date. If the airlines schedule change affects your itinerary, you will receive an updated itinerary by email. You will receive your final flight itinerary, which will include your e-ticket numbers and your final travel documents, approximately 21 days prior to your departure. The pre- and post-tour hotels are booked in advance by Country Walkers and cannot be altered. Transfers are also arranged by Country Walkers and coordinated to meet your arrival and departure flights. Approximately 21 days before your departure final details on your transfer times will be provided.
Please note: All flight arrangements are subject to change at any time. If you have Internet access, we recommend checking in for your flight 24 hours prior to departure.
Other Air Options: We are pleased to offer the following options for greater flexibility in seating, routing, and airline choice. Business Class Upgrades to business class seating may be available on request. Changes in Plans For any changes you make to your reservation that affect destination, departure date or program extensions, a $100-per-person administrative charge applies, in addition to any cancellation charges or applicable fees imposed by hotels or cruise lines. For changes made within 121 days of your original departure date, our cancellation policies apply. All changes are subject to availability and cannot be guaranteed. Customized Air Packages Customized air packages allow you further flexibility including choice of airlines, departure cities, departure times, and routes. The pre- and post-tour hotels are still included but all transfers are the responsibility of the guest. There is a $100 per person, nonrefundable administrative fee to request Customized Air and additional air charges may apply. (This $100 fee will be waived if you are combining multiple Country Walkers tours.)
Please note: If you are seeking a complete custom itinerary with multiple flights or multiple destinations, we recommend working with a travel agent.
Special Meal Requests: While Country Walkers will forward any requests for special meals (vegetarian, salt-free, low-calorie, kosher, etc.), to the airline, we do suggest contacting the airline directly to reconfirm your request after you receive your airline tickets.
Frequent Flyer Miles: Country Walkers cannot book tickets using frequent flyer miles. While we are happy to forward your frequent flyer number to the airlines, due to our contracts, we cannot guarantee that any frequent flyer miles will be earned on flights purchased, and the granting of any frequent flyer credits is the decision of the airline, not Country Walkers. The best method of obtaining any credit that the airline may choose to grant is to present your frequent flyer membership card upon check-in. We strongly recommend keeping copies of your boarding passes and your passenger receipt (from your airline ticket package) as proof of flight, in the event that the airline does not properly credit your frequent flyer account. You can submit the boarding passes and passenger receipt directly to the airline for any applicable mileage credit.
Advanced Seat Reservations: While Country Walkers will forward requests for preferred seating to the airline, airlines do not always assign seats in advance. If the airline is able to pre-assign seats, your assignment will be indicated on your final air itinerary. If the airline does not assign your seat in advance, you can check in early at the airport or contact the airline directly to request your seating preference. Unfortunately Country Walkers cannot guarantee advanced, pre-assigned seating.
Please Note: Some airlines, such as Lufthansa, charge for pre-assigned seating.
Domestic Connections: If you choose to make your own domestic flight reservations, we recommend that you avoid purchasing tickets at fares that carry high penalty charges for changes. International schedules are subject to change, and Country Walkers cannot be responsible for domestic airfare penalties or any loss resulting from unexpected changes in your international flights, cancellations, or changes in travel dates. Some airlines will charge a fee of approximately $200 per person to change your reservation. In many cases, tickets are nonrefundable. Make certain you are aware of all change and cancellation fees.
Changing Flights: Scheduled Guided Walking While the Flight + Tour Combo is booked immediately, the air is generally not ticketed until 45 days prior to travel. With a $100 administrative per-person, nonrefundable fee, you can request a change to your flight based on availability outside of 45 days prior to departure; additional air charges may apply. Some exceptions apply. Custom Air is generally booked at the time of reservation and fall within full cancellation policies. CW Safaris While the Flight + Tour Combo is booked immediately, the air is generally not ticketed until 65 days prior to travel. With a $100 administrative per-person, nonrefundable fee, you can request a change to your flight based on availability outside of 65 days prior to departure; additional air charges may apply. Some exceptions apply. Custom Air is generally booked at the time of reservation and fall within full cancellation policies.
Cancellations: Scheduled Guided Walking Flights have been contracted with partner airlines to provide the lowest possible airfare, however, these fares can be quite restrictive and carry cancellation charges imposed by the airline ranging from 25% to 100% (once ticketed). Any costs resulting from flight changes after your trip is confirmed will be your responsibility. We regret that we cannot accept changes to air reservations less than 45 days prior to departure. The standard Country Walkers cancellation policies apply to the Flight + Tour Combos. Should you cancel just the Air Package portion of your tour, the relevant penalty will be charged to the portion being removed from your reservation.
The standard Country Walkers cancellation policies apply as follows:
Cancellations received on or before 91 days prior to the start of the trip: $100 per person
Cancellations received 90 to 61 days prior to the start of the trip: 25 percent loss of trip price
Cancellations received within 60 days of the start of the trip: 100 percent loss of trip price CW Safaris Cancellations received 91 days or more prior to the tour start date will incur a loss of the full 20 percent deposit per person (and any additional services booked, including special permits and flights); cancellations received 90 to 61 days prior to the tour start date incur a loss of 50 percent of the tour price (and any additional services booked, including special permits and flights); there are no refunds within 60 days of the tour start date. You may transfer your reservation, depending on availability, from one departure to another (on the same itinerary, in the same calendar year) by notifying us in writing 91 days or more prior to the trip. You will be responsible for any penalties related to internal airfare and/or seasonal price variations, after which our cancellation policy applies.
IMPORTANT: In the event that you are delayed during scheduled air travel, VBT and Country Walkers cannot reimburse you for any unused portion of the land portion of your trip. If you have purchased the travel protection plan, you are insured for covered travel delays, as described in the Travel Insurance Certificate. There is a 100% penalty for aborted travel plans; reimbursement is not applicable through Country Walkers and is generally not covered by the Travel Protection Plan.
Our guests have loved Flight + Tour Combos since their debut last year. These convenient packages make it easy to reserve your complete adventure with just one phone call. They include round-trip airfare, pre- and post-tour accommodations, overseas transfers, and all breakfasts. Plus, our partnerships with major airlines let us offer them at extremely advantageous pricing. While Flight + Tour Combos have made exploring the world simple for countless guests, we recognize that travelers may have questions about them. To help you better understand this innovative program, we’ve collected the answers to many of the most common questions we hear.
What is the difference between a traditional Country Walkers Guided Walking Tour and a Flight + Tour Combo? For decades, our Guided Walking tours have been celebrated for bringing you the best of the world, one step at a time. They include virtually all meals, follow off-the-beaten-track routes, and showcase accomplished, local guides. Flight + Tour Combos simply add the convenience of letting us handle all of your travel arrangements to this already exceptional experience. They include two extra nights of hotel accommodations (as listed), all overseas transfers, affordably priced airfare, and the option of adding Pre- or Post-Tour Extensions to your 2016 journey. Since your flights are being planned by the creators of your tour, you can count on them to meld seamlessly with the rest of your itinerary.
What airlines will I be flying with? We work with most major carriers worldwide to offer you the best flights at the best prices. Air itineraries are selected with a focus on finding the best routing available.
Can I choose my seats? We request the best seats available when we reserve your flights, based on what we’ve found to be most popular with our past guests. Should you have a particular preference, please tell your Tour Consultants when reserving. We want to make your trip as smooth and comfortable as possible. By default, here’s what we look for:
Please note that airlines don’t always allow pre-selection of seats on all flights. All seat requests are honored at the discretion of the airlines, and are subject to change by the airlines at any time. If Country Walkers is not able to select a seat when reserving your flight, you may contact the airline directly once tickets are issued to see if seats can be requested. Though we don’t charge a fee for seat selection, some airlines do, so if you request seats from the airline directly, there may be a charge—typically around $35 per flight segment. Some flights are designated as “Airport Check In Only.” This means that no passengers are allowed to select seats until the check in period, which is generally 24 hours before the flight. Country Walkers guests are subject to this restriction.
Can I fly out of a departure city that isn’t listed? We’re happy to take requests for departure cities that aren’t on our list. When you make your reservation, ask your Tour Consultant about flying from your home city. Typically, we will be able to provide routing and pricing details within just a few days.
What if I’d like to choose my own airlines, select different travel dates, or upgrade to first class? Customized Air Packages offer many individual options including choice of airlines, departure city, time, and route. You can request premium economy or business class seats as well. If you’re hoping to linger awhile in your destination, we welcome you to select flight dates up to 30 days before or after your tour. Please note that there is a fee associated with Customized Air Packages, and additional charges may apply.
Am I more likely to have a long layover or extra connections because Country Walkers is arranging my flights? Your comfort is our top priority. When selecting flights, we will look for itineraries with the fewest connections possible. While some flights will require multiple stops, we do everything we can to keep your route simple, selecting the most direct flights our partners offer and, wherever possible, avoiding long layovers.
Can I use airline points or miles to pay for upgrades through Country Walkers? In order to offer the advantageous pricing that Country Walkers is proud to provide, we work within very strict guidelines dictated by our airline partners. Unfortunately, that means that most itineraries cannot be supplemented with air miles. When tickets have been issued, you may be able use miles to upgrade directly with the airlines.* *If your membership rules require the tickets to be issued in a certain booking class for upgrade, please tell your Tour Consultant. We will be happy to let you know whether we can issue the tickets in that booking class and, if so, whether there will be a difference in cost.
Will I earn frequent flier miles or points on my Country Walkers flights? If you belong to a frequent flyer program, you may be able to receive credit for some or all of the miles you travel, depending on the airline. All decisions about air miles are made by the airline and cannot be influenced by Country Walkers. To find out if you qualify, you will need to contact the airline directly. Please save your boarding passes, as they may be required as proof of flight.
Can I select seats in an “extra legroom” area, exit row, bulkhead, or other special economy class? Unfortunately, no. Airlines prefer to save exit rows and other economy-upgraded seats for guests who have paid full retail price for their tickets. Since our guests enjoy generous savings, we don’t have access to the exit row or economy-plus seats. However, the airline may be able to arrange an upgrade if you contact them directly after your tickets are issued. Keep in mind, we can’t guarantee that the tickets will be upgradable. All decisions about economy-upgraded seats are made by the airline and cannot be influenced by Country Walkers.
Are there additional fees related to air travel added to my invoice? No. All airline surcharges and government taxes and fees are included in the Flight + Tour Combo price. Call your Tour Consultant for details.
What happens if my flight is delayed? In the event of a delay, you can contact our 24-hour emergency service provider. You will receive their contact information in your final travel documents.
Can I make changes to my air itinerary after I’ve reserved my trip? Typically, yes. Tickets are usually issued about a month prior to your departure (though the exact issue date can vary). Prior to tickets being generated, we’re happy to make alterations to your air itinerary.
What happens if the airline makes changes to the flights? All commercial flights are subject to change at any time by the airline, including those flights we schedule on your behalf. While flight schedule changes can mean big changes, Country Walkers will be handling most of the work, so big changes don’t mean big headaches. If anything changes, we will notify you and send you an updated itinerary, so you can travel with confidence.
Is there a minimum age requirement for reserving a Flight + Tour Combo? Country Walkers requires that guests be at least 13 years of age to participate in our North American vacations and at least 16 years old for our international vacations.
Can I check my flight itinerary online? Absolutely! Your flight itinerary will be emailed to you approximately two weeks after you reserve your trip, and it will contain a booking reference number. You can then go to Checkmytrip.com and use that number and your last name to look up the details of your flights.
Do I need a current passport to make a Flight + Tour Combo reservation? Country Walkers strongly recommends having a current passport when making your reservation in order to avoid any fees that will apply should you need to make any changes more than 2 weeks after reserving. Please also make sure that your passport is valid until six months after the end of your tour. With all of that said, we are capable of making a reservation without an up-to-date passport, we just don’t advise it. When making a flight reservation, the U.S. Transportation Security Administration (TSA) mandates that flyers provide their Secure Flight passenger information exactly as it appears on the passport they plan to use when traveling. For example, if your middle name is spelled out on your passport, it needs to be the same when you make a flight reservation. If your middle name is abbreviated on your passport, it needs to be the same when you make a reservation.
When will tickets be issued? Tickets are usually issued about one month prior to your departure date, though timing may vary. They can also be issued earlier upon request. Please note that once your tickets are created, we can no longer make changes to your flight itinerary, s you’ll want to be certain that all your arrangements are final prior to requesting them. Tickets are nonrefundable once issued.
Can I check into my hotel room upon arrival? Your hotel room may not be available until 2:00 or 3:00 pm, however, you may store your luggage at the reception desk while you explore the city.
